Sample letter about an employee who has given poor or offensive service

In the service industry it is the words which matters and nothing else is important. I am really disappointed with the kind of services that I am receiving at your bank. The complaint is especially regarding the officer Ms. Kamya sitting at your customer care desk.

I am Gurpreet Singh and have an account with your bank from last 10 years. My account number is 23456ABC20. When I opened my account I have not named any nominee in the account opening form. For years neither I remembered nor had such requirement to register the nominee. But with time I realized that it is must to register a nominee in all the bank accounts. For the same I visited the main branch and met MS. Kamya to know the necessary process. To my sheer disappointment I waited there for more than 1 hour and Ms. Kamya didn’t had any time to solve my problem. In the event if she was busy with other clients I must have not made this complaint. But she was busy chit chatting with the employees during the office hours.

We are not here with your bank to waste our valuable time. Please bring in the required discipline and dedication in your branch or we will be forced to end our long term association with your bank.

This letter is to inform you that I am displeased with the lack of professionalism that has been displayed by you at work recently. When I promoted you to the post of Store Manager at our London outlet, I did so out of conviction that you would handle all our important clients with discretion and courtesy. I was extremely disappointed to learn from several customers that you have been rude and arrogant with them. As a luxury jewellery store, we are committed to providing quality services so that our clients are satisfied. We do not expect our store personnel to answer back and brush aside concerns or queries that a client may have. Mrs. Grace Dubois is a leading client at our store. Mrs. Dubois has lodged a formal complaint with us that you were extremely discourteous towards her when she approached you regarding the price of a diamond pendant. She has informed us that you snapped back at her that you were the manager and not some salesman who is there to answer her questions. May we remind you that we respect each of our staff members regardless of which rank or designation they are from. We do not appreciate your remark that you are not answerable to all our clients. We reiterate that you cannot belittle our salespersons in this manner either. Our sales staff members are motivated and caring. We are highly proud of them. We are suspending you from work for three weeks. We will decide on a disciplinary course of action during this period and communicate the same to you. The management is also considering the option of firing you. We will let you know regarding the future course of action we will take with respect to this matter.
